– BIFSA Annual General Meeting Tuesday 8th May 7.30pm

The BIFSA AGM will be taking place at 7.30pm, Tuesday 8th May in G23, Thoday Building.

At the AGM, an election will be held to fill the following roles on the BIFSA Committee for the furthercoming academic year.

President
Treasurer
Secretary
Social Secretary
Publicity Officer

In addition, at the AGM, a motion will be debated for the creation of a new post of ‘Works Officer’ to co-ordinate the various volunteering work projects undertaken during the year.

Details of the official duties of the roles are below. When you put it all down on paper, it seems like the committee do a lot of different things – but don’t worry all of the posts are generally straight forward with no nasty surprises.

If you want more details, please email the relevant current committee member and they’ll be happy to answer your questions.

If you wish to stand for a position, can you please drop us ‘initial expression of interest’ email (forestry@undeb.bangor.ac.uk) by Monday 7th May so that we can keep a track on who is going for which role. Don’t worry if you think you might change your mind – we wont force you to go for any position.

We will also be voting on awards for Honorary Life Memberships to BIFSA. If you wish to nominate anyone that you feel has contributed greatly to BIFSA then please email us your nomination (forestry@undeb.bangor.ac.uk).

The BIFSA Committee

Duties of the BIFSA Committee

President:
a)         He / She will be the principal official representative of the Society
b)         He / She will initiate, direct and supervise the work of the Committee
c)         He / She will initiate and maintain contacts with external non-student organisations.
d)         He / She will initiate and maintain contacts with external student organisations.
e)         He / She will be the prime liaison with UWB CSO.

Treasurer:
a)         He / She will perform the duties of the President in his/her absence or when incapacitated by sickness. The person will in this case receive official notice or authorisation from the President; otherwise he/she shall receive authorisation from the Committee.
b)         He / She will, in consultation with other members of the Committee, initiate activities and contacts for raising funds for the Society.
c)         He /She will co-ordinate all activities in relation to fundraising.
d)         He / She will supervise the work of the Secretary in relation to financial matters.
e)         He / She will prepare the Annual financial budget and report for the AGM.
f)          He / She shall see to the preparation of interim financial report upon request by the President or the Committee.
g)         He / She will administrate cash-box, bookkeeping, bank accounts and payments.
h)         He / She will ensure that BIFSA adheres to financial rules for UWB SU.

Secretary:
a)         He / She will maintain an archive for addresses, and organisational state of all BIFSA-members.
b)         He /She will maintain an archive for BIFSA correspondence.
c)         He / She will maintain an archive for the Statutes, Decrees, By-laws and the minutes of the AGM and adjusting regulations if decided.
d)         He / She will conduct decision making by correspondence for the AGM (see Statutes Art. 10.5).
e)         He / She will co-ordinate the internal mailing among members, organs and bodies.
f)          He / She will co-ordinate the external mailing from organs and bodies of BIFSA to the outside and back.

Social Secretary:
a)         He / She will initiate contact for event and meeting organisation.
b)         He / She will plan event content and schedule.
c)         He / She will support the Publicity Officer in the facilitation of timely notification to members of upcoming meetings and events.
d)         He / She will coordinate with the treasurer over event budget.
e)         He / She shall coordinate and aid the treasurer with regard to fundraising.
f)          He / She will coordinate and aid the secretary with regard to event promotion.
g)         He / She will coordinate and aid the president with regard to event initiation.

The following two duties are currently the responsibility of the Social Secretary however will be transferred to the ‘Works Officer’ position if this post is created:
h)         He / She will organise event transport and actively recruit, maintain and document a pool of qualified drivers.
i)          He / She will be responsible for organising insurance and implementing health and safety legislation.

Publicity Officer:
a)         He / She will be responsible for the maintenance of the BIFSA website and other online promotional areas (e.g. the UWB Intranet message boards).
b)         He / She will be responsible for the production and distribution of all official documentation, including material which publicises the activities of the society.
c)         He / She will be responsible for the timely notification to members of upcoming meetings and events.

Current proposal for Works Officer(*):
a)         He / She will initiate contact for volunteering projects / field trips.
b)         He / She will maintain a calendar of volunteering projects over the academic year
c)         He / She will plan volunteering project content and schedule.
d)         He / She will organise event transport and actively recruit, maintain and document a pool of qualified drivers.
e)         He / She will be responsible for organising insurance and implementing health and safety legislation.
f)          He / She will support the Publicity Officer in the facilitation of timely notification to members of upcoming projects.
g)         He / She will liase with external agencies and UWB departments over volunteering opportunities for members.
